HR Leaders Ltd ("HR Leaders", "we", "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share and protect personal information when you interact with us, including when you visit our websites, register for or attend our webinars/events (including those hosted on Crowdcast), use our products and services, or communicate with us.

This Privacy Policy applies to our websites (including www.hrleaders.co), our event/webinar registration pages, our web applications, and related communications (collectively, the “Services”).

1. Who we are

2. Key terms

“Personal information” (or “personal data”) means information that identifies you or can reasonably be linked to you. “Processing” means doing anything with personal information (collecting, using, storing, sharing, etc.). “Sponsor” or “Partner” means a third party that co-hosts or sponsors a webinar/event with us.

3. The personal information we collect

We collect personal information directly from you, automatically through your use of the Services, and sometimes from third parties (see Section 4).

A. Website visitors and enquiries

  • Identifiers and contact details: name, business email, organisation, job title, country, phone number (if you provide it).

  • Online identifiers and usage data: IP address, device/browser information, referring pages, date/time stamps, pages viewed and clicks.

  • Cookie and similar technology data (see Section 12).

B. Event and webinar registrations and attendance (including Crowdcast)

When you register for or attend an event/webinar, we may collect the fields shown on the registration form. This commonly includes: first name, family name, job title, organisation, business email, country, and company headcount. Mobile/telephone number is optional where offered.

We also collect attendance and participation data such as registration and attendance status, join/leave time, questions submitted, poll responses, and chat messages (where enabled).

C. Accounts, products and services

  • Account information: name, business email, organisation, job title, authentication credentials (where applicable).

  • Service usage and support information: actions taken in the product, support tickets, and communications.

  • Billing/contact details where you purchase or administer a paid service.

D. Recruitment

If you apply for a role, we collect the information you provide for recruitment purposes (for example CV, work history and contact details).

4. Sources of personal information

  • You (for example when you complete forms, register for events, or contact us).

  • Automatically from your device and browser (for example through cookies and log files).

  • Event platform providers (for example Crowdcast) when they process registrations/attendance on our behalf.

  • Our customers/clients where you are an authorised user or contact person for an organisation using our Services.

5. How we use personal information

A. To provide our Services and run events/webinars

  • Process registrations and provide event/webinar access links.

  • Send essential communications (confirmations, reminders, access details, schedule changes, and the on-demand recording link).

  • Operate webinar features such as moderation, Q&A, chat, polls and engagement analytics.

  • Provide customer support and respond to enquiries.

B. To improve, protect and administer our Services

  • Analyse usage and engagement to improve our content, events and Services.

  • Maintain security, prevent fraud, enforce our agreements, and protect the rights and safety of HR Leaders and others.

  • Maintain internal records, reporting and business operations.

C. Marketing communications

Where required by law, we send marketing emails only with your opt-in consent. You can unsubscribe at any time using the link in our emails. We may also send non-marketing, service-related messages that are necessary to provide a service you requested (for example, an event access link).

6. Legal bases (EEA/UK/Switzerland)

Where EU/UK GDPR or Swiss data protection law applies, we rely on one or more of the following legal bases, as appropriate:

  • Performance of a contract / steps at your request (for example, processing required to register you for a webinar or provide an account/service).

  • Legitimate interests (for example, operating and improving our Services, ensuring security, and producing non-identifying event insights).

  • Consent (for example, optional marketing communications and sponsor marketing opt-ins).

  • Compliance with legal obligations.

Where we rely on legitimate interests, we consider and balance our interests against your rights and expectations.

7. Sponsored events, partner sharing and opt-in sponsor marketing

Some events/webinars are delivered with a named sponsor or partner. We may share information with sponsors in two ways:

  1. Aggregated, non-identifying reporting (for example registration counts, attendance rates, and high-level engagement statistics).

  2. Attendee-level (identifiable) registration details and attendee label data (for example “registered/attended”) only where you explicitly opt in on the registration form.

Your ability to register for and attend an event/webinar is not conditional on opting in to marketing. If you opt in, the sponsor/partner will act as an independent controller for their own marketing and will handle your information under their own privacy policy.

8. Recordings and participation visibility

Events and webinars may be recorded. If you participate using chat, Q&A, polls, or audio/video (where enabled), your name and contributions may be visible to hosts and other participants, and may appear in the on-demand recording.

9. Referrals (“recommend a colleague”)

If you provide a colleague’s name and email address, you confirm you have their permission to share these details. We use referral details to send a single invitation about the relevant event/webinar. We do not add your colleague to marketing lists unless they register and opt in themselves.

10. How we share personal information

We may share personal information with:

  • Service providers (processors) who help us operate the Services (for example webinar hosting, email delivery, CRM, analytics, payment processing).

  • Sponsors/partners as described in Section 7 (attendee-level data only via opt-in).

  • Authorities or third parties where required by law, to protect rights, to respond to lawful requests, or in connection with investigations.

  • An acquirer/successor in the event of a merger, acquisition, or sale of assets (with appropriate notices where required).

11. Retention

We retain personal information for as long as necessary to provide the Services, deliver events/webinars and on-demand access, maintain event records and reporting, and comply with legal or contractual obligations. We then delete or anonymise it.

If you opt in to marketing, we keep your marketing preferences until you unsubscribe or withdraw consent. We may retain minimal information on a suppression list to ensure we respect your opt-out.

12. Cookies and similar technologies

We use cookies and similar technologies to operate our websites and measure performance. Depending on your location, we may present a cookie banner that allows you to manage non-essential cookies (for example analytics or marketing cookies). You can also manage cookies through your browser settings.

13. International transfers

We are based in the United Kingdom and our service providers may process personal information in other countries, including the United States. Where we transfer personal information internationally, we use appropriate safeguards, such as adequacy decisions (where applicable) and/or standard contractual clauses and supplementary measures.

Where applicable, transfers to the United States may rely on certification under the EU-U.S. Data Privacy Framework, the UK Extension (UK-U.S. data bridge), and/or the Swiss-U.S. Data Privacy Framework for certified organisations.

14. Security

We use appropriate technical and organisational measures designed to protect personal information. However, no method of transmission over the internet is completely secure.

15. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information; to object to or restrict certain processing; and to withdraw consent where processing is based on consent. You may also have the right to lodge a complaint with a regulator.

EEA/UK/Switzerland

  • Access, rectification, erasure, restriction, objection, and portability (where applicable).

  • Withdraw consent at any time where processing is based on consent (withdrawal does not affect the lawfulness of processing before withdrawal).

  • Lodge a complaint with your local supervisory authority/regulator.

California (CCPA/CPRA)

If you are a California resident, you may have rights to know, access, correct, delete, and opt out of certain sharing/sale of personal information, and to limit certain uses of sensitive personal information (where applicable). We do not discriminate for exercising these rights.

To submit a request, email hello@hrleaders.co with the subject line “California Privacy Request”. You may use an authorised agent where permitted, and we will take steps to verify requests.

Marketing preferences

You can unsubscribe from marketing emails at any time via the unsubscribe link in our emails. If you opt in to sponsor/partner marketing, you can also unsubscribe from that sponsor/partner directly.

16. Children

Our Services are not directed to children, and we do not knowingly collect personal information from children under 16.

17. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version and change the “Last updated” date.
